When to use it
A dues notice can only reach a member digitally if you have a working email or phone on file. The Action Plan finds the members where that's missing and ranks them by how soon their billing status will escalate — so you fix the most time-sensitive ones first. Check it at the start of a cycle and any time you import a new roster.
Step by step
- Open Roster → Action Plan. Summary pills at the top show how many members are missing email, missing phone, or missing both.
- Members are grouped into priority tiers: Urgent (suspended / Knight Alert — act within 3 days), High (Retention / 2nd Notice — within 2 weeks), Medium (1st Notice — within 30 days), and Low (current, or Life/Honorary Life — before cycle ends).
- Each card shows the member, their billing status, what contact info is missing, and a Fix by deadline.
- For a member who has email but no phone, click Email — ask for phone to send them a one-click contact-update request.
- For a member who has a phone but no email, click Text — ask for email to get a ready-to-paste script; send it from your phone, then click I sent the text so it's logged.
- To ask everyone reachable by email at once, use the Send contact-update emails banner — it sends each member a personal magiclink to verify and update their own info.
- For anything you'd rather edit by hand, click Update Profile to jump straight to that member's record.
Tips & gotchas
- Each emailed/texted request is logged in the member's communications history, so you have a paper trail of the outreach.
- Bulk email sends automatically skip bounced addresses, opt-outs, and postal-only members — you won't waste a send on someone who can't receive it.
- Suspended and affiliated members are kept off the list (fixing their contact info is busywork) but are counted in a footnote.
- Life and Honorary Life members appear only at Low priority for completeness — their dues aren't at risk.
- When everyone has both an email and phone, you'll see an All Clear screen.
