The core question: “Is the Financial Secretary allowed to use this?” The answer is not only yes — it is constitutionally grounded.

Section 139 of the Charter, Constitution and Laws of the Knights of Columbus assigns the Financial Secretary the duty to “collect and receive all moneys accruing to the council.” That mandate has not changed — only the tools available to fulfill it have.
DuesSync's position
DuesSync is a System of Action— it handles member engagement, digital payment collection, notice delivery, and reconciliation. The Supreme Council's Member Billing portal remains the System of Record. DuesSync gives the Financial Secretary a clean, reconciled record to work from — making what they report to Supreme more accurate, not less.
Every payment recorded in DuesSync corresponds to a real transaction that the Financial Secretary can verify, export, and report through official channels. The audit trail DuesSync generates — timestamped, per-member, exportable — makes Supreme reporting more accurate, not less.

Data flows one way only: Supreme Council exports populate DuesSync. DuesSync never writes back to Supreme systems. The Financial Secretary remains the sole party responsible for Supreme-side reporting, and DuesSync gives them a clean, reconciled record to do so.

DuesSync does not use the Knights of Columbus name, emblem, or cross-and-sword insignia as part of its own brand identity. References to “Knights of Columbus” and “KoC” throughout this platform are purely descriptive — identifying the specific council structure and fraternal context in which DuesSync operates.
All Knights of Columbus intellectual property — including the emblem, motto, ceremonial materials, and fraternal insignia — remains the exclusive property of the Knights of Columbus, New Haven, Connecticut. DuesSync makes no claim to any of it.

The practical question: “What happens to our council's data if this company ever disappears?”

We understand that adopting a startup platform requires a leap of trust that established software vendors don't require. We're addressing that directly.
The Founding Council commitment
The first 20 councils to join the Founding Council Program (free through June 30, 2027) are designated Founding Councils. For these councils, DuesSync commits to provide reasonable advance notice of any discontinuation and a full, structured export of all council data — member records, payment history, billing status, and notice logs — before any shutdown. No council will lose access to their records without warning or a path to retrieve them.
This is not a standard practice for small software companies. We offer it because the stakes for a Financial Secretary are real: member payment history, billing records, and contact information are not casual data — they are council records that need to exist five years from now regardless of what happens to DuesSync.

The 70%* reduction comes from automating the tasks that consume the most time: notice drafting and silent follow-up. These happen regardless of whether the member pays online or by check. The dashboard replaces the spreadsheet for both.

The fraternal-year transition is the highest-risk moment for any council's data. The Financial Secretary's fiduciary responsibility to their Brothers does not stop at dues collection. DuesSync is designed so that the platform itself cannot become a liability — because data that is never collected cannot be breached.
Fraternal affiliation as sensitive data
Knights of Columbus membership — and associated data such as parish and degree — may constitute religious affiliation information under California privacy law (CCPA) and similar state statutes. DuesSync treats this data with the same elevated care as other sensitive personal information: it is never sold, shared for advertising, or used for any purpose outside the council's own membership administration.
AI subprocessor disclosure
When a council enables AI-assisted features, narrowly-scoped data is transmitted to Anthropic's API:
- →Birthday emails: member first name and age, used to generate the personalized message body.
- →Check capture: an image of a check uploaded by the Treasurer, used to read the check number, amount, payee, and date.
- →Receipt parsing: an image of a receipt uploaded with a voucher, used to extract vendor, amount, line items, and date.
No financial account numbers, payment card data, Social Security numbers, or other sensitive identifiers are transmitted. All AI output is reviewed by the platform before being persisted or used downstream. AI features are individually toggleable per council.
Error monitoring and reliability
DuesSync uses automated error monitoring to detect and resolve issues before they affect council operations. Application errors are tracked in real time, triaged by severity, and resolved proactively. No member personal data is included in error reports — only technical context needed to diagnose and fix the issue.
PCI CompliancePayment TokenizationNeither the council nor DuesSync ever sees or stores a credit card number. Payment is handled entirely by Stripe's certified payment infrastructure.▼
When a member clicks their secure payment link, they are directed to a payment page hosted by Stripe— the same payment infrastructure used by Amazon, Lyft, and millions of other businesses. Card details are captured and secured by Stripe's payment infrastructure before they ever reach any DuesSync server.
What this means for the Financial Secretary
The Financial Secretary dashboard shows only payment status — Paid, Pending, or Failed. It never shows card numbers, CVV codes, or bank account details. This significantly reduces the Financial Secretary's fiduciary liability compared to collecting checks or handling card information manually.

Council Data Ownership Statement
The local Knights of Columbus council remains the sole ownerof all membership data entered into or imported into DuesSync. DuesSync is a data processor acting on the council's behalf. We will never sell, share, license, aggregate, or otherwise transfer member data to any third party for any commercial purpose. Data is used exclusively to operate the council operations service for the council that owns it.
This commitment is binding regardless of any change in DuesSync's ownership, funding status, or business model. It is codified in our Privacy Policy and Terms of Service.
Upon council request or account closure, all member data is permanently deleted from DuesSync servers within 30 days, with written confirmation provided.

Knights of Columbus members are not transactional customers. Treating them like a marketing list — with promotional blasts and no opt-out — is the fastest way to erode the trust DuesSync depends on. The Email Preferences system was built around that principle: required messages always reach the member; everything else is opt-in or opt-out at category granularity.

Dedup catches the same message sent twice within a window. Digest deferral consolidates non-urgent items so a brother doesn't get four separate emails on one Tuesday morning. Members control their preferences from the same magiclink they use to pay dues — no separate account required.

Knights councils span every US and Canadian timezone, but most platforms render everything in the server's time. A check entered on Tuesday becomes Wednesday in the audit log; a Pacific-time Friday Mass becomes Saturday for half the recipients. Small drift, big confusion.
DuesSync stores every timestamp in UTC and renders it in the council's configured timezone. Payment dates, calendar events, broadcast send times, and billing-status changes all show in the local day. Cross-council super-admin views use Eastern (Knights of Columbus HQ baseline) for consistency.
The test we use
A $35 payment recorded at 9 PM Pacific shows on the Pacific council's dashboard as Apr 20. The same payment shows on an Eastern council's super-admin view as Apr 21. Birthday and join-date fields use UTC (date-only) so a member born Jan 1 has the same birth date everywhere — no timezone drift on age calculations.

The Financial Secretary role is one of the most demanding volunteer positions in any civic or fraternal organization. The annual dues cycle alone requires consistent attention from October through April — notices, follow-ups, deposits, reconciliation, Supreme reporting — all while holding down a full-time career and family commitments.
Many capable and devoted FSs have stepped down not because they lost faith in the Order, but because the administrative load was unsustainable as a volunteer. When a Financial Secretary steps down, councils frequently lose years of institutional knowledge and established processes. The transition cost — in time, errors, and member delinquency — is real.
