Personal Plea from the FS

Sends a warm, hand-written-feeling one-off email to a single member — a personal nudge that doesn't read like another automated notice.

When to use it

When the automated rounds aren't landing and a member needs a personal touch — especially someone in Intent to Retain. The Personal Plea is the casual, friendly template the system reaches for automatically for retention-stage members, but you can send a personal message to anyone. Use it between automated notice rounds, or as your outreach before making a retention decision.

Step by step

  1. Open Roster → Members and click into the member you want to reach.
  2. In the Billing & Payments area, click the composer button — labeled Send Notice for members in a dues stage (retention members get the warm Personal Plea body), or Send email for current/waived members.
  3. The composer opens pre-filled with a subject and body. For retention/retained members this is the Personal Plea copy; edit it freely to make it your own.
  4. Click Preview email to see exactly how it will render, including any invoice statement and payment options.
  5. Click Send Notice / Send Email to send. Alternatively, use Open in email client or Copy message to send it yourself from your own mail.
  6. The send is logged in the member's Communications History so you have a record of the outreach.

Tips & gotchas

  • For Intent to Retain members, the plea is sent as a warm-tone notice: your personal message sits above an invoice statement with line items, payment options, and a View Full Invoice link — but with no Pay By deadline banner, so it reads as a friendly ask, not a demand.
  • For current/waived members it's a plain branded email — greeting, your message, sign-off — with no charges or payment button.
  • A member with no email on file can't be emailed; add an address first (or use Copy message to send another way).
  • This is a one-to-one send, not a batch — it never bypasses a member's bounce flag or opt-out.
