Council Calendar + Event Reminders

Maintains your council's event calendar, sends automatic email reminders before events, and lets members subscribe from their own calendar app.

Who uses it
Financial Secretary and Grand Knight (edit); all officers can view.
Where
Programs → Calendar (`/dashboard/programs/calendar`)

When to use it

Keep meetings, socials, fundraisers, and service events in one place so nobody misses them. Add reminders to each event and DuesSync emails members automatically. Share the subscribe link once and council events appear on members' phones — no login required.

Step by step

  1. Open Programs → Calendar. Switch between Month and List views, and filter by category if needed.
  2. Click + Add Event. Enter title, date/time, location, and description.
  3. Under Reminders, check the ones you want: 7 days before, 1 day before, and/or Morning of event (8 AM). (7-day and 1-day are on by default.)
  4. Save. The event appears on the calendar; reminders fire automatically from the daily job.
  5. Click any event to open its detail panel, where you can Edit Event, Send Broadcast (pre-fills a reminder), or Cancel Event (and optionally notify members).
  6. To let members subscribe, open the Subscribe to Council Calendar section at the bottom, copy the Feed URL, and share it — with iPhone/Mac, Google Calendar, and Outlook instructions included.

Tips & gotchas

  • Event times display in the council's timezone (shown next to the month label). All-day events render correctly regardless of timezone.
  • Supreme deadline events are system-seeded and read-only — DuesSync updates them automatically if Supreme changes the date.
  • Clone Year copies last Columbian Year's events into this one as drafts for you to review and confirm.
  • Bulk Import loads many events at once.
  • Cancelling a recurring event lets you choose this occurrence only or the whole series, and whether to notify attendees.
  • The subscribe feed updates automatically; members re-syncing get the latest events without a new link.
