Snap a Photo to Record Checks

Reads a photo of a paper check and auto-fills the payment amount, date, check number, and memo so you don't have to type them.

When to use it

When a member pays by paper check, use this instead of keying every field by hand. Snap a photo (or upload a scan) and DuesSync extracts the details for you to confirm. It also stores the check image with the payment record.

Step by step

  1. Go to Dues → Payments and click Record Payment to open the dialog.
  2. Search for the member by name or member number and select them.
  3. Under Payment Method, choose Check. A Scan Check button appears.
  4. Click Scan Check. On a phone, tap Take a Photo; on a computer, drag a check image into the drop zone, click to browse, or use "take a photo." Accepted: JPG, PNG, WebP, or HEIC up to 10 MB.
  5. The scan runs automatically. When it finishes, you'll see the extracted Check #, Amount, Date, Memo, and Bank with a confidence indicator (green = high, yellow = review, red = verify everything).
  6. Click Use These Details to pre-fill the form. Fields filled from the scan show a small green "Scanned" badge.
  7. Review every pre-filled value, adjust anything wrong, then submit to record the payment. The check image is uploaded and attached to the record.

Tips & gotchas

  • Always verify the amount and member — the scanner can misread, especially on a low-confidence (red) result.
  • If the scan fails, you can Retry Scan or Continue Without Scan to enter the details manually while still keeping the image.
  • Use Rescan on the confirmed-scan banner to replace the image and re-read it.
  • HEIC photos from iPhones are accepted but won't show a preview thumbnail in the browser.
