Personalized Birthday Emails

Automatically sends a uniquely written birthday email to each member on their birthday, signed from your council.

Who uses it
Financial Secretary (the Grand Knight and FS are CC'd on every send).
Where
Roster → Birthday Emails (`/dashboard/roster/birthdays`)

When to use it

Turn this on once and let it run all year — it's a low-effort way to keep members feeling recognized between meetings. Each email is generated fresh with historical facts from the member's birth date, a nod to their years of service, and a council dad joke. Members on their birthday get at most one email per calendar year.

Step by step

  1. Open Roster → Birthday Emails. The pill in the page header shows Enabled (green) or Disabled (amber).
  2. In the Birthday Emails card, flip the toggle on. You'll get a confirmation toast ("Birthday emails enabled.").
  3. Click Preview sample email to generate a real AI email from one of your members — nothing is sent.
  4. That's it — from now on the daily job sends each member's email on their birthday automatically.
  5. To send on demand: when members have a birthday today, the Today's Birthdays panel appears. Click Send Now to fire them immediately instead of waiting for the daily run.

Tips & gotchas

  • The daily send runs automatically once enabled — you don't need to visit this page every day.
  • Postal-only members, members with no email, bounced addresses, and opted-out members are skipped (shown with an amber "Skipped" reason in the Today panel).
  • Each member gets at most one birthday email per calendar year — re-clicking Send Now won't double-send.
  • The KPI strip (Sent / Delivered / Thanked) reflects the current calendar year. "Thanked" counts members who tapped the thank-you CTA. Open rates aren't tracked by design.
  • Demo councils don't send real birthday emails.
