Invite Your Officer Team

Sends an email invitation to a council officer so they can set up their own DuesSync login with exactly the access their role needs.

When to use it

Bring your Grand Knight, Deputy Grand Knight, Treasurer, and other officers into DuesSync so they can see what's relevant to their office without you forwarding everything. Do this at the start of a fraternal year after the slate is set, or any time a new officer takes over. Each officer gets their own secure login — no shared passwords.

Step by step

  1. Open Settings → Users & Roles. You'll see Council Users (who already has access), Invitation History, and the Invite User form.
  2. In the Invite User form, pick the Role first. If you've filed Form 185 or have an officer roster, DuesSync auto-fills the name and email from your approved roster — a blue "Auto-filled from your approved Form 185 officer roster" banner confirms it. Edit or Clear if needed.
  3. Confirm the Full name and Email address (email is required). For 4th Degree assembly roles, also pick the Assembly (the invitee must be a Sir Knight).
  4. Optionally click Preview invitation email to read the exact message the officer will receive before sending.
  5. Click Send Invite. The officer gets an email with a link to set up their own account; once they accept, they're added to your council with that role.
  6. Track outcomes under Invitation History (Pending / Accepted / Expired / Revoked). Use Resend Invite to send a fresh link, or Send access link from the Council Users list for officers who've already accepted but need to log back in.

Tips & gotchas

  • The setup link in each invite expires after 24 hours; the invitation record itself expires after 15 days. Resending generates a brand-new link.
  • You can't revoke or change the role of another Financial Secretary, or act on your own account — those controls are hidden for safety.
  • Change role on an existing user, or Disable (temporarily) vs Revoke (permanent, cannot be undone) to remove access.
  • Grand Knight and Deputy Grand Knight are treated as a pair across DuesSync notifications — invite both so neither misses anything.
