Turnover to Treasurer

Records a hand-off of the cash and checks you've collected — dues payments plus any non-dues cash — to the Treasurer, who acknowledges receipt by an emailed link. The Grand Knight is copied, and a public receipt is produced. (Card and online payments settle directly to the council and aren't turned over.)

When to use it

Whenever you hand money over to the Treasurer. The FS collects dues and other funds but shouldn't hold them — this creates a clean, acknowledged record of exactly what changed hands and when, so the books and the audit trail line up. Use it after each collection or on whatever turnover cadence your council follows.

Step by step

  1. Open Finance → Turnover to Treasurer. The top of the page confirms which Treasurer the turnover will go to.
  2. Under Dues not yet turned over, check the recorded cash and check dues payments you're handing over (or Select all). Card and online payments don't appear — they settle directly to the council and never pass through your hands. Anything already turned over won't appear here either.
  3. Under Non-dues funds, click Add line for any cash or checks that aren't dues — events, fundraisers, charity, donations. Enter a description, amount, and method (cash or check); optionally post it to a budget income line.
  4. Set the Turnover date and add an optional Note for the Treasurer.
  5. Check the running total (Dues + Non-dues = Grand total) at the bottom.
  6. Click Record turnover & request acknowledgment. This emails the Treasurer an acknowledgment link and CCs the Grand Knight and Deputy Grand Knight.
  7. The Treasurer clicks their emailed link to acknowledge — confirming the amount, or flagging a discrepancy with a note. The turnover then shows Acknowledged (or Acknowledged — discrepancy).
  8. Find any turnover in the Recent turnovers table and open its Receipt link for the shareable public record.

Tips & gotchas

  • Each dues payment can only be turned over once — linking it here blocks it from a second turnover, so you can't double-count.
  • You must have a Treasurer with an email on file to record a turnover; if none exists, add the Treasurer to the officer roster first. (The Treasurer can be roster-only — no DuesSync login required to acknowledge.)
  • Only the Financial Secretary can create a turnover.
  • Non-dues lines posted to a budget line book the income now; the Treasurer's actual deposit later reconciles against it in the bank pull, so it isn't double-counted.
  • The acknowledgment link is one-time-use and expires — once acknowledged it can't be re-used.
