Officer Roster (Form 185)

Builds your council's slate of elected and appointed officers and submits it to Supreme as Form 185, "Report of Officers Chosen for the Term."

Who uses it
Financial Secretary (assigns and submits); the Grand Knight is one of the officers recorded.
Where
Roster → Officers (or open it from Compliance → the Form 185 card).

When to use it

File Form 185 each Columbian Year after your council's officer elections, ideally by June 30 so the new slate is on record before the term begins July 1. Keep it current whenever an officer changes mid-year — re-submitting replaces the slate. The roster you build here also feeds the Safe Environment tracker and the Star Council prerequisites, so an accurate roster pays off across the platform.

Step by step

  1. Go to Roster → Officers. The page lists every officer role (Grand Knight, Financial Secretary, Trustees, Warden, etc.) with each one marked Assigned or Unassigned.
  2. For an unassigned role, click Assign; for a filled role, click Change. A search box opens in that row.
  3. Type a member's name or member number, then pick the member from the results list to fill the role. Roles that require a background check are flagged "BG check required."
  4. Repeat until every role you need is filled. Use Remove to clear a role.
  5. When the slate is complete, click Submit Roster. The status flips to Submitted, member profiles are tagged with their officer roles, and officer notifications go out.
  6. After submitting, use Notify Officers to re-send role notifications, or use the Submit (to Supreme) button on the Compliance hub's Form 185 card to transmit the form to Supreme.

Tips & gotchas

  • Editing a submitted roster (assigning, changing, or removing) returns it to Draft — you must Submit again to re-record it.
  • Submitting locks officer tags onto member profiles and triggers role-specific welcome emails; don't submit a half-finished slate.
  • The Compliance hub shows Form 185 as a prerequisite for the Star Council Award — an unsubmitted roster will hold back that status.
  • A member can hold only one role at a time in the search results; reassigning moves them.
