When to use it
The Safe Environment Program, administered by Praesidium, requires the Grand Knight and the Program, Community, and Family Directors to complete online training — and some to pass a background check — within 30 days of receiving credentials. Track it from the start of each Columbian Year. Non-compliance can lead to officer removal and disqualifies the council from the Star Council Award, so keep every tracked officer current.
Step by step
- Go to Compliance → Safe Environment. If officers were filed on the Form 185 roster, they sync in automatically; if not, use Sync from Roster to pull in the four tracked roles.
- The status banner shows training percentage, background checks valid, and how many officers need action. Each officer appears as a card.
- For each officer, check the Safe Environment Training box once complete. Upload their training certificate (PDF/JPEG/PNG, max 10 MB) and set its "valid until" date.
- For officers requiring a background check, set the issue date and upload the BG-check certificate; the badge shows Valid, Expiring Soon, or Expired automatically.
- Use Send Reminder on any officer who is incomplete to email them a nudge; the card tracks how many reminders were sent and when.
- Confirm the banner reads "All Officers Compliant" before relying on this for Star Council.
Tips & gotchas
- Officers get their Praesidium training link only after their email is recorded on Form 365 (Program Directors) — assign directors there first.
- Training certificates default to a three-year validity from the completion date; the badge turns amber within 90 days of expiry and red once expired.
- You can edit training/BG status and upload certificates only for the current Columbian Year; prior years are read-only.
- Reminders are available only for officers who have an email on file and still have an incomplete item.
